  1. Create the letter under Admin access, Document Templates, Workflow Letters

Steps to check as follows:

  • Click on Admin Access, “HR Documents

  • Move to “Document Templates” and go into “Workflow Letters” folder

  • Click on “Add” button to create Confirmation letter

  1. Create Notification template under Notification Centre, Custom Notification

Steps to check as follows:

  • Path is as follows:
    Darwinbox Dashboard > Admin Access Settings > “Search Settings” (on the search bar)

  • Click on “Custom Notifications

  • Click on “Create New Template

  • Tag the confirmation letter configured earlier under “HR Letter Template”, this will enable letter attachment going to the employee along with this email

  • Select “Attach letter to Employee profile” to pin the letter to the employee’s profile

  • Also, choose the field where this letter should sit on the employee’s profile as shown below

Refer the document to Custom Email Templates • Notification Templates • Darwinbox Product Documentation <to be edited>

  1. Tag the Notification template created in the Confirmation Policy configuration “Select Letter Template For Confirmation” if the employee is confirmed and “Select Letter Template For Extension” if the probation is extended

Steps to check as follows:

  • Path to edit Confirmation Policy is as follows: Darwinbox Dashboard > Admin Access Settings > “Search Settings” (on the search bar)
     OR 
    Darwinbox Dashboard > Admin Access FlowsLifecycle Management > Confirmation Policies

  • Click on “Confirmation Policies

  • Click on the edit button against the confirmation policy which should be applicable to the employee

  • Choose the Configured template under “Select Letter Template For Confirmation”, this will be triggered if the employee is confirmed

  • Choose the Configured template under “Select Letter Template For Extended”, this will be triggered if the employee’s probation period is extended
